Terms of Service

Last updated 8 September 2026

These are the rules for using Carpanion. They are written to be read: what you can expect from us, what we expect from you, and where the line sits between the two.

The short version

The full terms are below. Here is the shape of them.

The agreement is with the shop

Carpanion is licensed to a shop. The shop decides which staff get accounts, and it is responsible for what they do with them.

We never hold your money

Card payments run through Stripe or Clover under your own agreement with them. Funds go from your customer to you, never through us.

Your records are yours

You keep your data and can export it. We keep the software. Accuracy of what you enter, and of the documents you issue, is yours.

AI drafts, you decide

Where Carpanion drafts text for you, that draft is a suggestion. Read it before it goes to a customer.

01Who these terms cover

These terms are the agreement between Carpanion, operated in Alberta, Canada, and the shop that subscribes to it. Carpanion is shop management software for independent automotive repair shops and dealers. Shops buy it at carpanion.ca and use it at shop.carpanion.ca.

Where these terms say you, they mean the shop and the staff the shop authorises to use its account. Only the shop and those people may use it. If you sign up on behalf of a shop, you are confirming you have the authority to accept these terms for it.

02Accounts and access

The shop decides who gets an account and what role each person has. Keep credentials private, do not share logins, and remove staff who leave. Everything done through your account is treated as done by you.

Tell us at support@carpanion.ca if you think an account has been used by someone who should not have it.

03Subscription and billing

Carpanion is sold directly. You agree a plan and a price with us, and self serve signup is no longer offered. Your subscription then bills through Stripe on the cycle set out in your plan, and renews for further terms until it is cancelled.

To cancel, tell us at support@carpanion.ca. Cancelling stops the next renewal. Fees already paid for the current term are not refunded unless we agree otherwise in writing. If a payment fails and stays unpaid, we may suspend access until it is settled.

04Taking payments from your customers

Carpanion never holds your funds. When you take a card payment online, on a pay link, or on a terminal, that payment is processed by Stripe or Clover under your own agreement with those companies. They hold the merchant relationship, they run the settlement, and they pay you out.

Their terms, fees, payout timing, and disputes process are theirs, not ours. Carpanion records the payment against the job so your books line up. Read their agreements, because they govern the money.

05Your customers and your records

The customer and vehicle records you enter are yours. So is the responsibility for them.

  • Accuracy. What you type is what the platform prints. Estimates, invoices, inspection findings, mileage, and vehicle details are your figures.
  • Consent to message. Canada's anti-spam legislation (CASL) applies to the SMS and email you send from Carpanion. You are responsible for having consent to contact a customer and for honouring an unsubscribe.
  • Compliance documents. Alberta forms such as AMVIC, salvage, and vehicle for hire are issued by you. Carpanion renders them from what you enter. Checking that a form is correct and properly issued is your job, not the software's.
  • Privacy. You decide what you collect about your customers and how long you keep it. We process it on your instructions, as set out in our privacy policy.

06Acceptable use

Use Carpanion to run your shop. Do not use it to:

  • Break the law, or help someone else break it.
  • Send messages to people who have not agreed to hear from you, or send bulk unsolicited marketing.
  • Upload malware, or try to break into the platform, another shop's data, or an account you were not given.
  • Copy, resell, or rent access to the software, or reverse engineer it.
  • Put a load on the service that interferes with other shops using it.

We may suspend an account that is doing any of this, and we will tell you why.

07AI assisted drafting

Some features draft text for you: blog posts, replies to reviews, and reading data out of a document you upload. That output is a suggestion. It can be wrong, and it can be wrong in a way that reads well.

Review anything drafted this way before you send it, publish it, or rely on it. You are responsible for what goes out under your shop's name.

08Who owns what

We keep the software. Carpanion, its code, design, and branding stay ours. Your subscription is a licence to use it while it is active, not a transfer of it.

You keep your data. Your customers, vehicles, jobs, documents, and history remain yours, and you can export them. If you need help getting an export out, ask us.

09Availability

We work to keep Carpanion running and we monitor it, but we do not offer a formal uptime guarantee. Maintenance happens, third party services we depend on have their own outages, and features change as the product develops.

We will give notice of planned work where we reasonably can, and we will tell you before we retire a feature you are using.

10Disclaimers and limits

Carpanion is provided as it is. We do not promise it will be free of faults, that it will fit every way you want to work, or that it will always be available.

To the extent the law allows, we are not liable for lost profit, lost business, or indirect losses, and our total liability to you for any claim is limited to the subscription fees you paid us in the twelve months before the claim arose. Nothing here limits liability that cannot be limited by law.

Carpanion is a record keeping tool. It does not give legal, tax, accounting, or regulatory advice, and a document it renders does not replace your own professional judgement.

11Ending the agreement

You can stop your subscription at any time by telling us. We can end or suspend an account for non payment, or for a serious breach of these terms, and we will tell you the reason.

Export what you need before you close your account. After an account ends, access to the app stops. Tell us at support@carpanion.ca what you want done with the data we still hold and we will work with you to return or delete it, subject to any records we have to keep by law.

12Governing law

These terms are governed by the laws of the Province of Alberta and the laws of Canada that apply there. The courts of Alberta have jurisdiction over any dispute.

13Changes to these terms

We update these terms as the product and the law change. When we make a change that matters to you, we will tell you by email or in the app before it takes effect, and the date at the top of this page will change.

Ask before you sign

If any part of this is unclear, ask. We would rather answer the question now than argue about it later.

support@carpanion.ca

We may update these terms from time to time. Continuing to use Carpanion after an update means you accept the updated terms.
